Understanding Key Terms in Cerely

Welcome to Cerely! Before you begin using the system, it’s important to understand the key terms that form the foundation of how your data is structured. These core components; Clients, Sites, Contacts, and Personnel work together to help you manage operations, assign resources, and maintain strong client relationships.

Clients

Definition:
A Client represents the parent company or head office of a business that you provide services for.

Client contacts are typically based at the head office level and may oversee multiple associated sites.

Example:
If you provide services to a retail chain, the head office that manages all store locations would be set up as the Client.

Sites

Definition:
Sites are the individual service locations where your services are delivered. These are usually physical locations such as buildings, venues, offices, or warehouses, and are always linked to a Client.

Example:
Each individual store, office, or facility belonging to a client is set up as a separate Site.

Contacts

Definition:
Contacts are the people you interact with across both Clients and Sites.

There are two types of contacts in Cerely:

  • Client Contacts – Based at the head office or parent company level and may oversee multiple sites
  • Site Contacts – Based at a specific location (e.g. Venue Manager or Duty Manager) and responsible for day-to-day operations at that site

Example:
A Head Office Operations Manager would be a Client Contact, while a Venue Manager working at a specific location would be a Site Contact.

Personnel

Definition:
Personnel refers to your operational workforce the individuals who deliver services on the ground.

This can include:

  • Employees 
  • Independent contractors
  • External Employees (Sub Contractors)
