How to Edit Client Charge Rates

This article explains how to update existing Client Charge Rates, which are used to determine how associated sites to the parent company are billed for services, allowances, additional charges, and invoice generation within Cerely.

Important: This process is used when updating an existing Client Charge Rate. If you need to create a new Client Charge Rate for the first time, refer to How to Add Client Charge Rates

1. From the home screen in Cerely, click on the Client tab from the Cerely main menu

2. Select the client you would like to edit charge rates for from the list

3. From the left-hand menu, click on the Financial Details tab

4. Locate the Client Charge Rate you would like to edit

The Financial Details list will display all Client Charge Rates currently configured for the selected Client.

If multiple Charge Rates exist, locate the Charge Rate you would like to update and select it from the list.

 

5. Click on the Edit icon on the right-hand side of the charge rate under actions to open the charge rate for editing.

8. Click on the Charge Rates tab from the menu to update an existing charge rate

You can modify the following fields:

Field Description
Effective From Date Enter the date the updated Charge Rates will become effective. All associated Sites linked to this Client Charge Rate will automatically use the new rates from this date
Year Period Update the year period the Charge Rates apply to. Cerely uses this period to monitor Charge Rate expiry and will display dashboard alerts when the Charge Rates are approaching expiry
Charge Rate Code Update the Charge Rate Code if required to match your accounting system
Job Role Select or update the Job Role the Charge Rate applies to
Start and End Times Update the applicable shift start and finish times for the Charge Rate.
Applicable Days Select the days the Charge Rate applies to.
Charge Rate Enter the updated billing rate.

Important: The account code entered in Cerely must exactly match an active account code within your accounting system. If the account code does not exist or has been entered incorrectly, invoice exports may fail or generate import errors.

13. Click on the Save button

The system will update the Client Charge Rate and apply the changes.

The updated Client Charge Rate will now display in the client's Financial Details list.

Note: Changes made to Client Charge Rates may impact future rosters, invoice generation, payroll processing, and accounting exports. We recommend reviewing all changes carefully before saving.

The system will notify you on the dashboard when Charge Rates are nearing expiry so they can be reviewed or updated.
