How to Add an Independent Contractor

This article explains how to add an Independent Contractor in Cerely, including all required and optional setup steps. There are 6 key steps to complete when adding an Independent Contractor. Only Contractor Details and Financial Details are mandatory to create the contractor profile and send an invitation. All other sections can be completed at a later time; however, completing them during setup helps improve compliance, rostering accuracy, and contractor management.

Overview of Contractor Setup Steps

When adding an Independent Contractor, you will work through the following sections:

  • Contractor Details (Mandatory)
  • Qualifications & Experience (Optional)
  • Availability (Optional)
  • Uniform & Equipment (Optional)
  • Insurances (Optional)
  • Financial Details (Mandatory)

1. From the home screen in Cerely, click on the Personnel tab from the Cerely main menu

2. Click on the Add Personnel button from the right-hand side menu and select + Add Contractor

3. Complete the Contractor Employee Details section (Mandatory)

Enter all required contractor information in the fields provided.

Field Description
First Name & Last Name Enter the contractor's legal name
Known As Enter a preferred name or nickname (if applicable)
Trading As Enter the contractor's business or trading name (if applicable) 
Position Select the contractor's position from the dropdown menu
Phone / Mobile Enter the contractor's contact number
Email Address Enter the contractor's email address. This will be used for login access and system notifications
   ABN   Enter the contractor's Australian Business Number (ABN) 
Upload Photo Upload a profile photo of the contractor
Status Remains as Pending until the contractor accepts the Cerely invitation
Permission Select either Standard or Supervisor access level
Rating Optional – Add a performance rating for internal management purposes
Date of Birth Enter the contractor's date of birth
State Select the state(s) where the contractor is authorised to work
Division Select the division(s) where the contractor may be rostered
Start Date Enter the contractor's commencement date
Primary Manager Select the contractor's primary manager or supervisor
Secondary Manager Optional – Select a secondary manager or supervisor
Address Information Enter the contractor's residential address details

4. Click on the Next button

5. Licence & Qualifications (Optional)

The Qualifications & Experience section allows you to record licences, qualifications, certificates, and experience relevant to the contractor.

To add a licence or qualification:

1. Click on the + Add button on the right-hand side

2. Select the Qualification Type from the dropdown menu

Available options include:

  • Certificate
  • Induction
  • Industry Experience
  • Licence & Functions

3. Complete the relevant fields based on the Qualification Type Licences and Functions selected 

Field Description
State Select the state the licence or qualification applies to
Licence Type Select the relevant licence or qualification type from the dropdown menu
Functions Select the functions associated with the licence or qualification
Licence Number Enter the licence or qualification number
Expiry Date Enter the expiry date of the licence or qualification
Enforce Expiry When enabled, the contractor cannot be rostered to shifts requiring the licence or qualification once it has expired
Licence Status (QLD Only) Select either Unrestricted or Restricted
Unrestricted Allows the contractor to perform security duties unsupervised
Restricted Requires the contractor to work under the supervision of personnel holding an Unrestricted licence
Upload Document Upload a copy of the licence, qualification, or supporting document

 

 

Important: When Enforce Expiry is enabled, the contractor cannot be rostered to a Site requiring that licence or qualification if it has expired

10. Click on the Submit button

The licence or qualification will now be recorded against the contractor profile and used when assessing eligibility for rostered shifts.

6. Availability (Optional)

The Availability section allows you to record when the contractor is available to work. This information is used by the rostering system when assigning shifts.

To add availability:

1. Select Availability from the left-hand menu

2. Select the Date Range you would like the availability to apply to

3. For each day, select whether the contractor is Available or Unavailable

4. Select All Day or specify the available start and finish times

5. If required, configure the Repeat settings

6. Enter an End Date or select Never Ends

7. Click on the Save Availability button

The availability will now be recorded against the contractor profile and used by the rostering system when allocating shifts.

7. Uniform & Equipment (Optional)

The Uniform & Equipment section allows you to record any uniforms, equipment, or assets that have been issued to the contractor.

To add a uniform or equipment item:

1. Select Uniform & Equipment from the left-hand menu

2. Click on the Add button

3. Complete the following fields:

Field Description
Type Select the type of item being issued (e.g. Uniform, Equipment, Asset)
Item Select the item being issued from the dropdown menu
Size Select the appropriate size for the item (if applicable)
Quantity Enter the number of items being issued
Condition Select the condition of the item being issued
Deposit Enter any deposit amount collected for the item
Date Issued Enter the date the item was issued
Issued By Select the person who issued the item

4. Click on the Save button

8. Insurances (Optional)

The Insurances section allows you to record and manage contractor insurance policies and expiry dates.

To add an insurance policy:

1. Select Insurances from the left-hand menu

2. Click on the + Add button

3. Complete the following fields:

Field Description
Insurance Type Select the type of insurance being recorded
State Select the state the insurance policy applies to
Policy Number Enter the insurance policy number
Expiry Date Enter the expiry date of the insurance policy
Enforce Expiry When enabled, the contractor cannot be rostered once the insurance policy has expired

4. Upload a copy of the insurance certificate or supporting documentation

5. Click on the Submit button

Important: When Enforce Expiry is enabled, the contractor cannot be rostered once the insurance policy has expired

The insurance policy will now be recorded against the contractor profile.

9. Financial Details (Mandatory)

Enter the contractor's financial and payment information.

1. Select Uniform & Equipment from the left-hand menu

2. Click on the Add button 

3. Enter the Financial Details into each of the fields required 

Field Description
Payroll Company Select the entity the employee will be paid by
Industry Choose the relevant industry for award or agreement application
Roster Cycle Select the employee’s roster frequency (e.g., Weekly, Fortnightly)
Classification Choose the appropriate level under the award or agreement
Employment Type Select the employment category (e.g., Full-Time, Part-Time, Casual)
Minimum Hours Enter the minimum hours guaranteed per cycle
Payment Type Select the preferred method of payment (e.g. EFT)
Pay Cycle Choose the payroll processing cycle (e.g. Weekly, Fortnightly)

 

 

 

 

 

Final Step: Send Invitation

Once all details have been completed:

  • Click on the Submit button to save the contractor profile.
  • Click on the Invite button to send an activation email to the contractor.

The contractor will receive an invitation allowing them to activate their account and access the Cerely Personnel App.
